How I host at a trade show
The stage is built. Now someone has to bring people to it.
A familiar picture: the stand cost six figures, the stage is built, the technology works. And then someone from sales is standing there with a microphone, talking against the noise of the hall. In front of four people, two of whom are looking at their phones.
That isn't a staffing problem. It's a craft problem.
A trade show stage works differently from a ballroom. There is no seating plan, no applause, no obligation to stay. Everyone in the aisle decides afresh every two seconds whether to walk on. My job is to turn that decision your way, again and again.
What that means for you, in concrete terms:

The audience gets fetched, not awaited.
I play into the aisle, not just onto the stage. That is the difference between a demonstration and a crowd.
Your product stays the star.
I'm not the show. I'm the amplifier. The demo has to be understood, not me.
English that non-native speakers understand too.
Native level, but deliberately measured. Clear sentences, a clean pace, no idioms that evaporate in the room.

Multi-day trade shows are an endurance sport. I pace myself, because I know what's still coming on Thursday afternoon.

Honestly: a trade show stand costs more than any hosting on it. It's worth not saving on the last metre.

Beforehand we settle stage times, slots and the running order. Several short appearances a day are usual, rather than one long one. I take on the introductions, the product demo, interviews and audience activities. There is a briefing with your team beforehand, usually by video, and a technical check on build-up day.
No. I organise the journey myself and usually travel the day before, so that nothing on the event day depends on a timetable. For multi-day trade shows I'm on site throughout anyway. I calculate travel costs transparently and as a flat rate.
